From an inbox attachment to a checked record.

Illustrative workflow

An invoice arrives in an agreed mailbox. The workflow identifies the attachment, extracts the supplier, reference, date and amount, and checks whether the reference already exists. A person reviews missing or inconsistent details. After approval, the document is filed and the agreed record is updated.

This is an example of a possible workflow, not a delivered client case study. The precise checks and destination depend on your systems. Extracting invoice data does not mean authorising a payment.

Accuracy and exceptions

Design for the files that do not behave.

A clean PDF and a photographed handwritten form are different inputs. We assess representative examples before agreeing the scope, including scans, multi-page files, changed layouts and documents with missing fields.

Extraction should keep a reference to the source so a reviewer can check a value. Ambiguous results, unexpected file types and failed checks should be routed for review instead of quietly entering the system as reliable data.

Duplicate handling matters too. A repeated attachment or retry should not create another business record. We agree the identifiers, review rules and retry behaviour for the specific workflow.

File storage is only one destination.

The useful output may be a CRM update, a project record, a review task or a structured export for another system. Our integration work connects the document process to the next action, subject to the access your software provides.

Before processing live documents, we agree what information is needed, where it is processed, who can access it and how originals and extracted records are retained. If a third-party AI service is proposed, that is part of the project discussion.
